Job Description

Accommodation Night Receptionist

  • Promoting a safety culture and ensuring you are aware of and comply with all client and company health & safety procedures and standards at all times
  • Role modelling the ESS Way behaviours at all times to colleagues, customers & clients and demonstrating Compass DNA behaviours at Delivering' level
  • To check the reception log book daily and ensure that you are aware of any issue/occurrences that may have taken place, ensuring that any relevant information is recorded in the log book for the following shift coming on duty
  • To help with the on the job training with new team members
  • Occasional loading of course personnel on the Visual One system
  • Generation of short term mess bills
  • Generation of mess bills for a customer that didn't have accommodation reserved
  • Take payment for customer mess bills by cash, cheque & credit/debit card, ensuring all Profit Protection Procedures  and  relevant  paperwork is adhered to at all times
  • Loaded bookings form the evening email account
  • Complete reply emails and save in Draft folder
  • Ensure that written accommodation boards are up to date
  • Place room key in envelop (ensuring that room number is on the envelope) and staple to Arrival Proforma and Mess Bill, then place in arrivals basket in alphabetical order
  • Issue keys to contractors etc ensuring that the key issue is recorded in the Key Issue Book and that the key is signed back in
  • Issue keys from the arrivals baskets to delegates booked in
  • Issue a room to delegates not booked in ensuring that customer completes a Proforma,  then load information onto the Agilysys system
  • Check guest in and out of accommodation
  • Chase up missing room keys
  • Answer guest queries
  • Deal with telephone calls
  • Report faults on the site FM Easy system and log repair numbers
  • Ensure that we have a large supply of stamped envelopes with relevant building stamp on
  • Make up TTR packs
  • Ensure that we have plenty of towels in reception
  • Assist with the daily/float exchange/takings, ensuring that the mess bills balance; ensuring all Profit Protection Procedures  and  relevant  paperwork is adhered to at all times
  • Carry out nightly patrols of Roberts Hall/Kitchener Hall & Beckett House (if on duty in Beckett House), ensuring that any glasses in the bar are placed on the trolley and left by the bar door, all doors & windows are closed, lights are switched off. Remove the days newspapers and place in the recycle bin
  • Daily batch check In
  • Carry out Night Audit on Visual One
  • Carrying out other reasonable requests made by your Line Manager including working in areas other than those to which you are accustomed
  • Ensure that uniform standards are upheld to the highest standard and adhered to
  • To attend weekly Huddles with your team leader

Who you are:

Essential

  • Proven experience delivering exceptional customer service and seeking improvement for clients and consumers
  • Able to work flexibly in line with business requirements
  • Competent in the use of Microsoft packages
  • Good general standard of education
  • Ability to organise, prioritise, and manage tasks to deal with the day to day demanding environment

Desirable

  • Military structures & communication methods
  • Experience in reception
  • Basic PC knowledge
  • Ambition to develop skills and knowledge to progress further and grow in the role
