YOUR ROLE

Providing an administration and reception support service to the operational business function you will be the first point of contract making a lasting impression by delivering exceptional customer service to all who visit the site. In this varied role you will have responsibility for a number of daily and weekly tasks which play an important part in the success of the business unit.

YOUR RESPONSIBILITIES

  • First point of contact, meeting and greeting colleagues and visitors to the site along with handling general calls to the business unit.
  • Ensuring the reception area is welcoming, booking in visitors maintaining the information accurately.
  • Managing meeting room bookings across the business unit
  • Fire alarm testing, liaising with the relevant service partners to ensure testing runs smoothly
  • DSE (Display Screen Equipment) Assessments: Assisting with a monthly check for new starters/ current employees who have moved desks of people due to re-do their annual DSE assessment. Sending emails to line managers with the relevant attachments to advise that the assessment needs to be completed then when it's been returned you have to file the form and update the spreadsheet accordingly
  • Maintaining the training matrix for OPM (Operational Performance Management)
  • Building Management, assisting the Admin team as required with notifications of issue within the building, i.e. cleaning complaint, broken facilities etc., logging of issue, checking issue personally, recording all safety concerns raised and then filling in the required forms for Compliance to action.

YOUR SKILLS AND EXPERIENCES

  • Excellent interpersonal and communication skills both verbal & written, coupled with good listening skills
  • Good knowledge of Microsoft Office (Word, Excel and Outlook)
  • Remains customer focused and professional at all times.
  • Organised with the ability to work as part of a team or independently depending on the needs of a task
