We have an exciting opportunity for Event Sales Co-Ordinator,  

To act as the catering point of contact for confirmed clients on a wide range of events i.e. weddings conferences and meetings held at Hever Castle. To act as the Restaurant Associates point of contact for all catering queries the Hever Function Sales team have. 

The job holder will play a key role in organising the catering element of the delivery of a wide range of events including: 50+ Weddings per year, 20+ conferences per year and other numerous events for corporate clients and others.

Responsibilities Include: 

  • To understand how each event space operates from both food and beverage and logistical sides to ensure clients expectations can be managed.
  • To work alongside Hever Castle staff to develop plans for events and to attend customer meetings.
  • To take the lead and assist Hever Castle Sales team in identifying individual customer requirements for food and beverages for events. Liaise with other Restaurant Associate and Hever Castle staff with regards to catering and logistical arrangements. This includes supporting menu selection, organising and attending tastings as wells as working with Chefs, operational meetings to pass information to all areas involved.
  • To assist with the set up and management of customer packages as appropriate for each event, to ensure correct allocations are agreed and received. 
  • To assist Hever Castle's Sales team in the compilation of function sheets from a food and beverage side to ensure that accurate information is available for the operational team to manage the events.
  • Responsible for invoicing Hever Castle after the event for all food and beverages items supplied.
  • To assist Hever Castle Sales team in production of menus, name cards and other administrative support required for the successful running of the events.
  • To support the Restaurant Associate's General Manager and C&B manager in processes including updating of a yearly Sales Plan and weekly reporting of on C&E food and beverage sales forecasts.
  • To be responsible for ensuring the menu planning document is up to date and menus are formatted to Hever Castle & Leith's brand guidelines.
Who you are:
  • Demonstrable previous experience in event management
  • Excellent written English and oral communication skills for drafting and proof emails, letters and menus.
  • Excellent organisational skills, particularly in managing time and tasks.
  • A keen eye for detail and the ability to produce high quality, accurate work in tight timescales with limited supervision.
  • Computer literate with at intermediate experience of the Microsoft suite of programmes, particularly MS Word and Excel.
  • The confidence to liaise with senior staff of Hever Castle and with customers from a wide range of backgrounds and cultures.
  • A welcoming and helpful approach when dealing with customers in person at face-to-face meetings and over the telephone.
  • Self-reliance, common sense, trust, integrity, and humour.
  • The job holder will have or may need to develop financial awareness to produce and monitor budgets.
