Supplier Contract Manager

Job Description

I&C Solutions sell, design, build and operate energy solutions for industrial and commercial customers. The range of technologies encompasses efficient lighting just as much as Solar PV, complex multi-MW CHP+storage solutions and others. The Construction&Project Delivery Team is responsible for managing the constrution phase of the projects, covering everything that happens from when they are handed over the Design by the Development and Design Team up to handing over a fully operational site to the O&M Team.

  • Responsible for the supply chain contracts and management of them over the contract life, liaising with the Project Delivery Managers for project specific aspects.
  • Being the a point of contact for suppliers of existing framework contracts and all related topics / questions from a supplier perspective.
  • Ensure effective lines of communication between the Development and Design, Construction and Procurement teams to ensure adequate prioritisation of requirements.
  • Support Project Delivery Managers in ensuring contractors fulfil their obligations during construction with regards to quality, HSSE and contractual procedures .
  • Develop and negotiate supplier contracts which take advantage of current and future regulatory incentives.
  • Develop appropriate contract management tools, guidelines and manuals for standardisation and knowledge sharing purposes.
  • Manage relationships with the supply chain that facilitate smooth flow of services.
  • Ensure effective use of internal Standard Operating Procedures in Procurement, control of workflows, continuous business processes monitoring and elaboration of improvements in systems and processes.
  • Ensure compliance with operational control strategies relating to payments and adherence to treasury obligations where appropriate.
  • Work closely with Construction QS and Commercial Coordinator to provide assistance to the accounting and controlling departments in managing invoicing processes, record payments of invoices.
  • Responsible for introducing process improvements in the supply chain and identify new vendors/suppliers without jeopardising quality and service delivery.
  • Negotiate, within the terms and conditions of supply chain contracts, solutions to conflicts/problems arising in case of poor performance or non-compliance with contractual obligations and convene meetings with contractors to allow ample opportunity for the identification and early resolution of potential disputes.
  • Support Project Delivery Managers in setting up lessons-learnt sessions including the supply chain.

  • University level education in a relevant discipline ideally engineering, business and administration desirable.
  • Knowledge and experience of On-site Generation, Energy Projects and M&E projects.
  • Knowledge of the safety management of contractors' activities.
  • HSSE qualification (IOSH, NEBOSH or similar) and construction-related experience for ensuring supply chain compliance.
  • A self-motivated team player able to operate with the minimum of supervision and communicate clearly (both written and oral) with employees at all levels.
  • Strong experience in understanding supplier contract terms and conditions.
  • Ability to objectively assess a supplier as a key member of a strategic supplier team, with particular reference to commercial, business, HSSE and supply capability skills.
  • Experience of drafting and implementing processes and procedures.
  • Knowledge of and experience in supplier management, understanding and control.
  • Experience and knowledge of supplier indexations and cost /value drivers.
  • Critical thinking skills and ability to analyse complex problems.
  • Ability to maintain strong attention to detail in high-pressure situations.
  • Ability to work constructively with customers, suppliers  and colleagues.
  • Ability to provide high level customer satisfaction.
  • Presenting professional supplier audit reports, with unbiased recommendations and/or corrective action plans.
  • Strong communication and negotiation skills.
  • Relative experience demonstrated through previous roles of the above requirements.
  • Ability to engender respect in negotiation with current and potential vendors.
  • Willingness to travel.
  • Proficiency in the use of standard MS Office tools (Word, Excel, PowerPoint, Project desirable)
