Job Description

Bank positions are ad hoc/temporary but generally Monday to Friday 9am – 5pm. Positions are requested from numerous directorates across the hospital and require a variety of skills to include providing excellent customer service to patients and families. As a Bank worker, you will provide a comprehensive and quality administration service to the designated department and manage and prioritise your workload liaising closely with the other administration staff and management in the Department.

 

Key working relationships

 

Internal: Supervisors, Office Managers, Medical Secretaries, Health Records Staff.

 

External: Other NHS Trusts, Parents / Carers and Families, other hospitals and GP practices

 

Main duties and responsibilities:

 

Administrative Duties

  • To ensure that all correspondence, letters and discharge summaries (including outsourced audio
  • typing and locally generated typing) relating to the consultant or team are processed within agreed
  • timeframe
  • To assist Medical PAs in preparing letters to be sent out, ensuring that all copied parties receive a
  • copy of the document To carry out general administrative duties such as filing, photocopying and assisting with
  • ·organisation of events/meetings
  • Receive, sort and distribute internal and external post
  • To type correspondence/reports/minutes using word processing skills
  • To monitor queries and ensure they are responded to in a timely fashion
  • To input data accurately onto computerised systems as required
  • Find and provide requested data/information using agreed procedure and format
  • To assist any team member in specific project work as required
  • To support and provide cover for colleagues during absence Photocopying, faxing and shredding of documents in accordance with hospital policy Filing all
  • patient details i.e. medical reports, correspondence in accordance with hospital policy
  • To collect risk management will be clarified to you by your manager at your local induction
  • Medical Records/Outpatients/Admissions

  • To be responsible for registering new patients to the service, creating new hospital notes when appropriate.
  • To be responsible for booking appointments on to PIMS retrospectively for telephone clinics and any other clinics as and when required, ensuring appropriate referral, appointment outcome, coding and finance information are recorded and correct.
  • To assist in organising, where appropriate, outpatient clinics, locating notes and booking appointments.
  • To support the team in finding additional outpatient appointment slots for patient to ensure all waiting time and choice targets are adhere to.
  • Ensure medical notes, radiology reports etc. are available as and when required.
  • Ensure that all notes are tracked in and out of the departments by using the PDT system and undertake duties as Local Records Managers when necessary being aware that the department is responsible for all notes tracked to the clinical unit.

     

    Communication

  • To demonstrate excellent communication and interpersonal skills including the ability to exercise diplomacy and a good telephone manner.
  • Where possible to be the first contact for all enquiries, handling politely and sensitively to telephone and written queries from parents, GPs, other professionals and Trust employees, taking action upon and passing on messages where appropriate (telephone, email and verbal).
  • To pass on calls and enquiries to relevant team members ensuring urgent messages are prioritised.
  • To maintain absolute confidentiality regarding all matters relating to the service, including but not limited to patient information.
  • To know how accurate and timely data collection helps the Trust deliver patient care now and in the future.

     

    Reception Duties

  • Welcome staff, visitors and patients in a friendly manner, ensuring that patients time of arrival and departure is recorded on relevant systems
  • Working with the receptionist to manage the desk and reception area, ensuring that it is presentable at all times and dealing with any queries / questions as they arise
  • Confirm with families that patient demographics are correct and update systems as appropriate
