Our leaders are pretty self-sufficient, but in some cases, it makes sense for them to have a right-hand person who can lighten the load, manage their schedule, and make their work life run more smoothly.

We’re looking for a Management Assistant to join us to provide support to our General Manager of Scientific Services and their direct reports. Together they run a very busy team that is focused on providing a wide range of regulatory, business and operational support services which include scheduling, sampling and laboratory analyses. These services are delivered by a highly skilled team of over 350 people across 2 laboratories, 23 sampling depots and a number of office locations throughout Scotland. 

 

What you’ll do

This is a pretty classic PA role. You’d be overseeing mailboxes, managing calendars, arranging meetings, booking venues, coordinating travel arrangements, preparing Powerpoint slides, updating Sharepoint sites, handling expenses and all the things you’d expect.

You’ll also be on hand to provide administrative support on projects, and make sure agreed actions get done, and time isn’t wasted. You can expect to be pulling reports, handing information requests, or collating information for your team.

Our Management Assistants often play a big role in coordinating events, often working together with their counterparts from around the business. And expect to play a big part in terms of internal comms within your part of the business, being able to relay key messages to and from the wider team.

 

What you’ll need

You’ll have some experience in an administrative role, ideally as a team administrator or personal assistant (PA), with the ability to adapt your style to work with a variety of leaders.

A whizz on Microsoft Office, you’ll also be comfortable with learning other software packages, e.g. so you can raising POs, or submit expenses.

You’ll be a friendly and approachable person who loves to help. You’ll be really organised and quickly be able to get to grips with your team’s key priorities.

You’re not someone who passively waits for instructions. You like to keep tabs on things and make sure everything is ticking along the way it should. And you’re no soft touch – you’ll be quite comfortable pushing back and saying no, if a request is unreasonable.

This is a full time (37 hours per week) role and the working hours are Monday to Friday, from 9.00 am until 5.00 pm. However, we are also happy to look at alternative working patterns including part-time.

The not-so-small print

This role will be a Grade 3. If you’re new to Scottish Water, you’ll join us on a starting salary of £25,980. Performance-driven pay progression would then allow you to move through the range to a maximum of £30,000.
